Job Context
The Admin Associate position will be based in the Project District Office located in Barisal. He/she will be responsible for all kind of administrative support to run the office smoothly. S/he will responsible to prepare all administrative documents & maintain office files systematically. Ensure logistic support in field level. Prepare all sorts of documents as per organization & donor compliance.
Job Description / Responsibility
1 General Management & Logistics Support
Ensure proper cleaning of the premises, official desks, rooms and bath rooms all the days.
Keep and ensure all types of format in available in the office format box.
Provide all logistic support for conducting training, meeting and workshop at regional level.
Prepare all administrative documents & maintain file systematically.
Assist to Admin Officer for prepare and maintain regional/district office lease agreement.
Checking Lease agreement files & make sure the time payment of Lang lord.
Help the management for office correspondence regarding Bangla & English typing.
Arrange Buss/ Air ticket and hotel room booking for visitors.
Ensure office security and maintain visitors log book.
Assign cleaners for cleaning of the office premises, official desks, rooms and bath rooms.
2 Procurement Management
Preparation Purchase Requisition (PR) as per requited.
Prepare Request for Quotation (RFQ) as per required.
Prepare Bid-analysis/ Comparative statement & purchase order as per required.
Maintain PR, RFQ, WO/ PO file and register separately.
Assist to AO to prepare Monthly procurement status report.
Assist to AO to prepare quarterly procurement plan.
Assist to prepare vendor enlistment and maintain vendor enlistment file.
Ensure and purchase all kinds of regional office petty purchase.
Assist to procurement committee for purchase all goods and supplies.
Timely delivery purchase materials to district office.
3 Vehicle Management
Prepare & Maintain Vehicle Requisition Form (VRF).
Ensure Vehicle Requisition Form (VRF), Motorcycle and vehicle Log Book are available in the officer format box.
Maintain total list of the vehicles (Motorcycles, bicycles etc.) including renewal date of the documents of the vehicles.
Assist to AO for renewal of the vehicle documents on time like insurance/ Fitness/ Route permit.
Ensure proper maintenance of the motorcycle/ by-cycle to keep those in useable condition all the time.
Ensure that the riders are using log books all the time.
Ensure that in-out of the vehicles/ Motorcycle is maintained at the office gate log book.
Ensure safety and security of the vehicles and Motorcycle.
Prepare monthly motorcycle/ vehicle report on performance of the vehicles and circulate to all concern.
Any other task from supervisor will perform as and when required.
4 Store & Inventory Management
Maintain Regional Office Store as a store custodian.
Ensure all materials are available in the store.
Maintain Store Requisition Form (SRF) file.
Maintain materials delivery challan file/ Goods and Service receiving note (GSRN) file.
Maintain Stock Register (stationery and training) separately.
Prepare monthly stock status report.
Maintain & Ensure Assets Identification number and Assets Tag on the assets.
Prepare and maintain regional office fixed assets /local assets list separately.
Prepare and maintain Room wise Furniture Fixture & Equipment list (FF&E).
Assist to Prepare yearly fixed Assets physical verification report.
Any other task from supervisor will perform as and when required.
5 Human Resources and Leave Management
Maintain Regional office Daily Attendance register and Time sheet.
Maintain district/ regional office staff leave record and leave file.
Prepare leave report and maintain individual staff leave file separately.
Supervise Office helper and Night Guard.
Supervise the staffs and assist them for their career development and improving performance.
Plan and implement staff performance appraisal as staff development mechanism.
Ensure that the staffs are well aware of the gender policy, human rights, and governance issues and following those in dealing with the colleagues and project partners including the project participants
Ensure that an enabling environment is prevailing at the work place and staffs are working well enjoying equal opportunities irrespective of male and female.
