Job Context

SAJIDA is seeking an Assistant Coordinator (Procurement & Logistics) to manage procurement and logistics activities in support of program implementation.
S/he will manage procurement and logistic activities under the guidance and supervision of the Senior Coordinator Admin. S/he will be responsible for procuring goods and services in accordance with SAJIDA and donor policies and procedures, and providing guidance, advice and support to ensure procurement processes are effective, efficient, compliant and ethical to achieve the best possible value to SAJIDA.

Job Description / Responsibility

Ensure each procurement process is conducted in compliance with SAJIDA and donor policies and procedures, and ensure all relevant supporting documents are in place.
Proactively contacts vendors to conduct due diligence for procurement process, and performs other relevant vendor screening as required based on SAJIDA policies and procedures.
Prepares and analyzes the following procurement documents:
Procurement Request.
Bid Analysis.
Vendor Selection
Work/Purchase Order or Contract.
Drafts contract documents (vendor contracts, consultant agreements, work orders, etc.),
Coordinates with Finance to issue Purchase Order, and monitors invoices/payments as per Terms and Conditions in the Contract and/or Purchase Order.
Coordinates with Finance related to VAT/Tax.
Provides necessary information/documentation during annual audit, as needed.
Conducts meeting/workshop/training arrangements in coordination with relevant program staff.
Conducts daily office functions, such us maintaining inventory, office supplies, and asset management.
Maintain a comprehensive and efficient filling system to document all procurement transactions.
Supports Senior Coordinator Admin on administrative matters and preparation & coordination of the audit process.
Perform other related procurement and administration tasks as assigned by the Senior Coordinator Admin.
